GUIDE FOR TEACHERS: PROGRAM BOOKING

How Does a Wild Voices Booking Work?

1. The Teacher creates a booking.

This will appear as a “Pending” booking.

2. The Community Educator (CE) accepts the Pending booking.

The CE will receive an email and message in the CBEEN system, notifying them of the booking request. The CE must review the booking and select from the preferred and alternate dates.

Step-by-Step Booking Instructions

1. TEACHER CREATES A BOOKING

To start:

Login to your CBEEN account, and press on the Wild Voices Presentations tab on the far left of the black bar at the top of your account page.

Search through the database of presentations, and then press the View Presentation button on the presentation of interest.

Step 1:

Choose booking type and then choose a preferred booking date and time and up to two alternate booking dates and times for the Community Educator to choose from.

Step 2:

Depending on if you chose a 1-1.5 hr, half-day, or full-day program, different price options are available. Select the price option that suits your needs, knowing that some schools don’t have access to the financial resources that others do.

Step 3:

If you have multiple classes associated with your CBEEN account, choose the class that you are booking for.

Step 4:

Choose an option if you are requesting bussing cost reimbursement. Fully subsidized programs are eligible for up to $300 in bussing cost reimbursement, while all other programs are eligible for up to $50 in bussing cost reimbursement.

Step 5:

Please list any special instructions you may have for the Wild Voices education leading this program.

Step 6:

Check disclaimer boxes

Step 7:

Confirm program payment and then press the “Submit Booking Request” button!

2. COMMUNITY EDUCATOR ACCEPTS PENDING BOOKING

At this point, you will see a Pending Agreement notice. The Community Educator has been sent an email and system notification of a program booking needing to be accepted.

THE BOOKING IS NOW CONFIRMED!

Unable to book a program?

  1. Your CBEEN membership may have expired. The CBEEN Membership year renews on August 1st each year. Please check and confirm that your CBEEN Membership is valid for the current school year by logging on to your online account, here.
  2. You may be registered as a Standard CBEEN Member instead of a K – 12 Classroom Teacher. Your membership type is listed on the top right hand corner of your account Dashboard. Only K – 12 Classroom Teachers can book programs at this time. Please contact the Wild Voices Program Manager at wildvoices@cbeen.org to switch your member type to a K – 12 Classroom Teacher membership.
  3. You may not have any registered Classes to attribute the booking to. If you do not have any registered Classes, you will see a notification on your Dashboard when you log in to your account. Follow the process above to register your current Class of students before booking.
  4. Our complimentary programs may be expended. Though CBEEN staff endeavour to secure sufficient funding to ensure each teacher access to a complimentary Wild Voices program, there are a finite number of programs to distribute each year. If you believe you should be entitled to a complimentary program, but did not receive access to one, please contact the Wild Voices Program Manager at wildvoices@cbeen.org.
